One mismatch between a quote and a PO can quietly cost real money, and the operations team was catching them by eye.
We met weekly with the operations and finance team and built the order desk into Claude. A PO builder turns a sales rep's order package into draft purchase orders in Sun's exact format, with a discrepancy report attached. An order checker compares every quote against its PO and returns a clear pass or fail. A weekly report cross-checks open payables against what customers have already paid.
Every order now gets an AI second check before it goes out the door, and payables reconcile against receivables automatically every week. Just as important, the team took it and ran: operations leaders are building their own skills, including a contract risk review the COO built on their own.
